The Organising Committee requires you to use the online entry system (SDP) of the ICF to submit nominal entries. It can be reached at:: https://icf.msl.es/icf/main.jsp

For the other online forms you need to go to: forms.digicorp.hu
Use your username and password to enter the system. If you don’t have them yet please send a request to the given email address. After entering the system follow the step-by-step guide to submit your preliminary entry, hotel reservation, boat rental, numerical entry and final travel information forms.

Please observe the following deadlines upon submitting forms and entries:

Preliminary Entry/Hotel Reservation/Boat Rental: until the 10th of March, 2017

Numerical Entry: until the 11th of April, 2017

Final Travel Info: until the 5th of May, 2017

Nominal Entries: until the 18th of May*, 2017 

The 2,400-metre long, 122-metre wide regatta course is located two kilometers south of Szeged. Being an artificial course, hydro dynamism is not an issue here and it is quite well sheltered from strong winds as well. It is equipped with Albano system and has nine lanes along with a separate warm-up line. There will be electric time keeping with photo finish camera and video recording. Automatic starting system will be used for the start.

 

Competition Programme

22nd of May (Monday) - Morning - Access period begins

24th-25th of May (Wednesday-Thursday) - 09:00-12:00; 15:00-18:00 Official training times

25th of May (Thursday) - 17:00 Team Leaders’ meeting 18:30 ITOs’ meeting

26th-28th May (Friday-Sunday) - All day Competition

End of the 3rd day Closing Ceremony

29th of May (Monday) - Evening - Access period ends 

BOARD AND LODGING

Participation fee / accreditation fee is to be paid for the length of your team’s stay during the access period which starts on the 22nd of May (Monday) and ends on the 29th of May (Monday) when the services (listed below) are provided. For bookings outside this period please see the chapter about training camps.

Considering different categories as far as accommodation the participation fees are as follows:


Category 1 (**** hotels) single room 130 EUR/person/day double room 115 EUR/person/day

Category 2 (*** hotels) single room 115 EUR/person/day double room 105 EUR/person/day

Category 3 (**and***hotels and guest houses) single room 105 EUR/person/day double room 95 EUR/person/day 

Category 4 (** motels, guest houses) single room 90 EUR/person/day double or triple room 80 EUR/person/day 

The participation fee includes the following services:

  • -  Accommodation

  • -  Three meals per day

  • -  Shuttle bus service connecting the regatta course and the official hotels during the access

    period, according to timetable

  • -  Accreditation fee

  • -  Right of common and operational costs of the venue

  • -  Medical care at the course

  • -  Security service at the course

  • -  Fully comprehensive insurance of the event

  • -  Access pass and parking for one trailer and one accredited vehicle (up to 3,5t)
    - Mineral water during the access period

    The participation fee does NOT include: - Airport (Railway Station) transfer to and from Szeged

    For teams larger than 3 persons arriving together at the same time we offer the transfer between Budapest and Szeged for 21 EUR/person/one-way.

    Individuals and teams of 3 or less requiring transfer should contact the Organising Committee for a custom price.

In case the exact departure time of your entire team will not be known by the time of accreditation the transfer fee will increase to 29 EUR/person for the way back.
 

In case accommodation and catering are booked independently and NOT through the Organising Committee you are still required to pay the accreditation fee of EUR 30/person/per day from the day of your arrival which includes the following services:

- Accreditation fee
- Right of common and operational costs of the venue

- Medical care at the course

- Security service at the course
- Fully comprehensive insurance of the event - Access pass and parking for one trailer and one accredited vehicle (up to 3,5t)

- Mineral water during the access period

The Organising Committee can not be held responsible for the quality and price of individually reserved accommodation.

Please keep in mind that because of limited availability of hotel rooms in various categories reservations will be accepted on a ‘first-come, first-served’ basis which means your team will be redirected to a different category than initially requested if there is not enough space left in the required category.

The Organising Committee does not take responsibility for any extra service of the hotel, like minibar, telephone, parking, etc., These costs are to be paid directly to the hotel.

Check-in time is 15:00PM. The rooms are to be vacated until 11:00AM on the day of departure. (Upon request the hotels will provide storage rooms for an additional fee.) 

Boat transportation

Please contact Your Chamber of Commerce or Customs Office to obtain the accurate information regard- ing the documents necessary for boat transportation.

Boat rental

The Organizing Committee has a limited number of boats available for rental purposes (Nelo and Plastex brand). You may acquire rental boats by filling in the corresponding form and sending it back by the 10th of March as indicated. Upon receiving the boat rental form 50% of the rental fee will be added to the proforma invoice as it must be paid in advance as a deposit along with the participation fee. The remaining 50% must be paid upon arrival at the accreditation centre. Boat rental requests received after the deadline will be considered but the Organising Committee can not guarantee the requested make or model and the rental prices double after the 20th of March.

The boat rental prices are as follows:

Accepted methods of payment at accreditation

Besides cash (only Euros and US Dollars are accepted) we accept Visa and MasterCard credit cards.

Cancellation terms

Should you cancel your booking, a charge will be made equivalent to any loss suffered by the Organ- ising Committee, as itemized below. The amount of any cancellation fee will be calculated as a percent of the participation fee (minus the accreditation fee) according to the following period of notice given:

No forfeit if cancelled until the 21st of April, 2017 50% forfeit if cancelled in the period of
21
st of April-5th of May, 2017
100% forfeit if cancelled after the 5
th of May, 2017

Insurance

All official participants of the World Cup are strongly advised to take out a medical insurance policy in their respective countries.

Medical care

The following medical services are available for all official participants of the World Cup: doctor on duty, hospital and clinic assistance. A medical centre will operate at the regatta course with ambulance and first aid. The costs above the regular first aid, ambulance and physiotherapeutic services are to be covered by your medical insurance policy, the Organising Committee is not responsible to cover your expenses in connection with hospital treatment, dental treatment or any other medical treatment. 

Visa

All participants are kindly requested to contact the Hungarian Embassy or consulate in their respective countries (or the closest to you) in time regarding visa requirements. The difficulty of obtaining visa to Hungary varies by regions but you should calculate with a 45-day long issuing period to ensure the safe attainment of the visa.

The typical steps of obtaining visa are as follows:

  1. Booking accommodation via the Organising Committee

  2. Sending the filled in visa invitation form (downloadable from the szeged2017.com website) to the Organising Committee

  3. Contacting the Hungarian Embassy / Consulate serving in your country / territory and do the paperwork they request of you

  4. Organising Committee requests the booked hotel for verification of stay

  5. Organising Committee sends the letter of invitation along with the verification of stay to the Hungarian Embassy / Consulate and the National Federation

  6. 6)  Visa issuance
